Privacy Policy

1. Introduction

Welcome to PPTAutomate (“we,” “our,” or “us”). PPTAutomate is a PowerPoint template automation platform. You upload a .pptx template; our system reverse-engineers its structure, lets you map document content to template shapes, and generates filled presentations — preserving all original formatting.

This Privacy Policy explains what information we collect, how we use it, and how we share it. By using PPTAutomate you agree to the practices described here.

2. Information We Collect

Account Information

• Email address and password (managed by Supabase Auth)
• Account creation date and sign-up source
• Subscription plan (Free, Pro, or Founding Member)

Usage and Quota Data

• Number of generations used and remaining within your monthly quota
• Storage consumed (bytes) versus your plan limit
• Generation history: template used, output filename, slide count, elements filled, and processing time
• API key activity and rate-limit counters

Billing and Payment Data

• Dodo Payments customer ID and subscription ID
• Subscription status, product ID, billing period, and cancellation state
• Payment method details are held by Dodo Payments, not by us

Uploaded Files and Templates

• PowerPoint template files (.pptx) you upload for registration
• Parsed template manifests (slide structure, shape types, placeholder tags)
• Content mappings you configure between your data and template shapes
• Source documents (PDFs, structured data) you provide for content extraction — retained only while processing and deleted shortly after

AI Interaction Logs

When you use AI-powered features (Copilot, smart mapping, suggestions), we log:

• Your instruction text and the type of operation requested
• The AI model used (Claude, GPT-4o, or Gemini)
• Token counts (prompt and completion), latency, and success/failure status
• Any feedback you provide on AI responses
• Rules generated, modified, or deleted during a session
• Conversation history for multi-turn copilot sessions

These logs are stored in our database and used to operate, monitor, and improve the AI features. See Section 5 for how your data is transmitted to AI providers.

3. How We Use Your Information

• To provide the template automation service: processing your templates, mappings, and generating output presentations.
• To power AI features: routing your instructions and template content to third-party AI providers on your behalf.
• To manage your account, enforce quotas, and process subscription billing.
• To send transactional emails (account creation, billing events, service alerts). We do not send marketing email without your consent.
• To monitor service health, debug errors, and detect abuse.

4. File Storage and Retention

Files are stored in Cloudflare R2 object storage, with Supabase Storage as a fallback. Retention periods depend on file type:

• Registered templates — stored until you delete them or your account is closed. Storage counts against your plan quota (Free: 100 MB, Pro: 1 GB, Founding Member: 2 GB).
• Generated presentations — automatically deleted approximately 24 hours after creation. Download your output before this window closes.
• Source documents (PDFs and other content you upload for extraction) — deleted promptly after extraction is complete.

We run a periodic cleanup job that removes generated files and any orphaned temporary data older than the configured retention period.

5. AI Features and Third-Party AI Providers

PPTAutomate’s AI features (Copilot, auto-mapping, suggestions) send data to third-party AI providers. Depending on which feature you use, your instruction text and relevant template content may be transmitted to:

• Anthropic — Claude models, used for Copilot and agentic editing
• OpenAI — GPT-4o and GPT-4o-mini, used for mapping suggestions and text refinement
• Google — Gemini models, used for quick suggestions

Data sent to these providers is governed by their respective privacy policies and terms. We do not control their data retention or training policies. If your templates or documents contain sensitive information, please review the policies of each AI provider before using AI features.

We do not sell your data to AI providers or use your content to train our own models.

6. Third-Party Services (Subprocessors)

We rely on the following third-party services to operate PPTAutomate:

• Supabase — authentication, PostgreSQL database, and real-time infrastructure. Your email, hashed credentials, and usage records are stored here.
• Cloudflare R2 — object storage for your uploaded templates and generated presentations.
• Dodo Payments — payment processing and subscription management. We share your customer and subscription metadata with Dodo Payments; card details are held solely by them.
• Anthropic, OpenAI, Google — AI inference providers. See Section 5.
• ConvertUniverse — if you access PPTAutomate through ConvertUniverse, a short-lived JWT handshake exchanges your email and plan tier between the two services to create or authenticate your account.

7. API Keys

If you generate API keys for headless access, the key values are stored as cryptographic hashes — we cannot recover the plaintext after creation. Keys carry per-key rate limits and optional expiration dates. Usage against an API key is logged and counts toward your account quota.

8. Data Security

We apply row-level security on all database tables so users can only access their own records. API keys are hashed at rest. File access uses short-lived presigned URLs. We use HTTPS in transit throughout.

No method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at support@pptautomate.com.

9. Your Data Rights

You may request access to, correction of, or deletion of your personal data at any time by emailing support@pptautomate.com. You can delete your registered templates at any time from the dashboard. Account deletion requests will be processed within a reasonable timeframe; some data may be retained for legal or billing purposes.

10. Changes to This Policy

We may update this policy from time to time. When we do, we will update the “Last updated” date at the top of this page. Continued use of PPTAutomate after a policy update constitutes acceptance of the revised terms.
